Download and install Google Apps Sync for Microsoft Outlook from the link above. When asked, insert your Google Apps email address and password. When asked if you want to import anything – you don’t – leave the checkboxes alone. A new, empty Outlook profile will be created and your email will be synchronised for the first time.

Google offers a free web-based e-mail service called Gmail. Small businesses may prefer to have their employees access their Gmail e-mail account from the standalone e-mail program Outlook Express. Outlook Express supports the IMAP format of Gmail's Web interface, allowing users to access all of the folders from their account. However, users can also use the POP3 format for e-mails from Gmail, but will only receive new messages and will have to access their existing messages and folders from the Gmail Web interface.
Synchronize Gmail with Outlook Express Using IMAP
1.Open an Internet browser on your computer and log in to your Gmail account.
2.Click the 'Settings' link at the top Gmail navigation bar.
3.Click the 'Forwarding and POP/IMAP' tab on the 'Settings' page.
5.Open Outlook Express. Click 'Tools' and select 'Accounts' from the menu.
6.Click the button labeled 'Add' and choose 'Mail' from the options.
7.Enter your name in the 'Display Name' field. Click the 'Next' button.
8.Enter your Gmail e-mail address in the 'E-mail Address' field. Click the 'Next' button.
10.Type 'imap.gmail.com' in the field labeled 'Incoming Mail (POP3 or IMAP) Server.'
11.Type 'smtp.gmail.com' in the field labeled 'Outgoing Mail (SMTP) Server.' Click the 'Next' button.
12.Enter your full Gmail e-mail address in the 'Account Name' field and your password in the 'Password' field. Click the 'Next' button.
13.Highlight the icon labeled 'imap.gmail.com' in the 'Internet Accounts' window that appears.
14.Click the 'Properties' button and select the 'Servers' tab. Make sure the check box beside the 'My server requires authentication' heading is selected.
15.Click the 'Advanced' tab. Make sure the check box beside the 'This Server Requires a Secure Connection (SSL)' option is checked under both the IMAP and POP settings.
16.Type '465' in the field labeled 'Outgoing Server (SMTP).'
17.Type '993' in the 'Incoming Server (IMAP)' field. Click the 'OK' button.
18.Click the 'Close' button in the 'Internet Accounts' window. A window will appear asking if you want to download the folders from your Gmail server.
19.Click the 'Yes' button to finish synchronizing your Gmail account with Outlook Express.
Synchronize Gmail with Outlook Express Using POP
1.Follow steps 5-8 from the first section of this article.
3.Type 'pop.gmail.com' into the field labeled 'Incoming mail (POP3, IMAP or HTTP) server.'
4.Type 'smtp.gmail.com' into the 'Outgoing mail (SMTP) server' field. Click the 'Next' button.
5.Enter your full Gmail e-mail address in the 'Account Name' field and your password in the 'Password' field. Click the 'Next' button.

Highlight the icon labeled 'pop.gmail.com' and click the 'Properties' button.
7.Click the 'Servers' tab. Make sure the check box beside the 'My server requires authentication' heading is selected.

Click the 'Advanced' tab. Type '465' into the'Outgoing Server (SMTP)' field and '993' into the 'Incoming Mail (POP3)' field. Make sure the check boxes labeled 'This Server Requires a Secure Connection (SSL).'
9.Click the 'OK' button. Click the 'Close' button in the 'Internet Accounts' window. Your Gmail e-mail account is now synchronized with Outlook Express.
